1. Introduction
This Talent Privacy Notice applies specifically to individuals who apply to join the ARZO roster, including models, hosts, MCs, performers, brand ambassadors, promoters, hospitality staff, and all other event talent categories.
Talent applicants give us substantially more personal data than general website visitors, and in some cases sensitive data. We keep this notice separate so it is clear what we collect, why we collect it, and who it may be shared with.
By submitting a talent application and checking the “I have read and agree to the Talent Privacy Notice and Talent Application Terms” checkbox, you confirm that you have read this notice and consent to ARZO collecting, storing, processing, sharing, and internationally transferring your personal data as described herein. You also confirm that all information you provided is accurate and up to date, and that ARZO may use your submitted media for internal review and casting purposes.
This notice should be read alongside our general Privacy Policy.
2. Data We Collect From Talent
When you apply to join ARZO, or once you are part of our roster, we may collect and hold the following information:
Identity & Contact
Full name, stage or professional name, date of birth, nationality, gender, phone number, WhatsApp number, email address, current city and country of residence.
Documents & Verification
Qatar ID (QID), passport, visa, and/or work permit. These are collected only when necessary for identity verification or booking compliance (see Section 7 for retention details).
Physical Attributes
Height, weight, clothing sizes, shoe size, and body measurements. Collected for casting and role-matching purposes relevant to fashion, hospitality, and promotional engagements.
Portfolio & Professional Profile
Headshot and full-body photos, video showreel or introduction video, portfolio, CV or resume, social media handles, years of experience, and previous brands or events worked with.
Skills & Availability
Languages spoken, talent categories, availability (full-time, part-time, event-based), and willingness to travel or relocate.
Financial
Bank account or payment details. Collected only after a booking is confirmed and payment is due, not at application stage.
Operational & Safety
Emergency contact details (only where required for safety at events), event attendance and performance records, and client feedback.
Legal
Signed contracts, consent forms, and model releases.
3. Children and Minors
Talent under the age of 18 requires the written consent of a parent or legal guardian before we will process their application or roster their profile. If you are a guardian submitting on behalf of a minor, you must complete and sign the relevant consent form.
We treat minors' data with heightened care and do not publish a minor's profile, photos, or videos publicly without explicit, signed guardian consent.
4. Why We Collect This Data
We collect talent data for the following purposes:
- Reviewing and evaluating talent applications
- Creating and maintaining internal talent profiles
- Matching talent with client event requirements and casting briefs
- Sharing shortlisted profiles with clients for booking consideration
- Managing confirmed bookings: call times, logistics, payments, contracts
- Verifying identity and eligibility to participate in events
- Legal, accounting, and regulatory compliance
- Safety and incident management at events
5. Profile Sharing With Clients
When a client submits a booking brief, we may share a selection of talent profiles, including photos, experience, availability, categories, and relevant measurements, with that client for casting review.
We only share profiles with clients who have a genuine, active booking need. We share the minimum information necessary for the client to make a casting decision.
The table below sets out what requires your separate consent beyond the standard application consent:
| Use | Consent Required? |
|---|---|
| Sending your profile privately to event clients for casting | Covered by application consent |
| ARZO website, social media, and portfolio materials | Separate optional checkbox on application form |
| Client paid advertising or brand campaign usage | Separate written model release required |
| Third-party commercial or editorial use | Separate written agreement required |
6. International Data Transfers
Your data is stored using Supabase (database and file storage), Vercel (hosting infrastructure) and HubSpot (our customer relationship system, processed in the European Union), which operate on servers located outside Qatar. By submitting an application, you consent to your data being transferred to and stored on these international systems. We take reasonable measures to ensure your data is protected during transfer and storage.
We do not transfer your data to countries with inadequate data protection standards without taking appropriate protective steps.
7. How Long We Keep Your Data
- Active roster profiles: Retained while you are active with ARZO, and for 3 years after your last booking or departure from the roster.
- Rejected or inactive applications: Deleted after 24 months from the date of submission.
- QID / passport / identity documents: Deleted after identity verification is complete. We do not retain copies of identity documents beyond what is necessary for legal compliance.
- Payment details: Retained only as long as required for accounting purposes (up to 7 years).
- Signed contracts and releases: Retained for the duration of the contract plus 7 years.
8. Your Rights
You have the right at any time to:
- Request access to the personal data we hold about you
- Request correction of inaccurate information
- Request deletion of your profile and data
- Withdraw any consent you have given (which may affect your ability to receive bookings)
- Object to certain types of processing
- Ask which clients or third parties your data has been shared with
Withdrawal of consent or a deletion request will be actioned within 30 days. Note that deleting your profile means ARZO will no longer be able to submit you for bookings.
